Forth and Tay Disabled Ramblers: Privacy Rules for Personal Data
This note describes the rules by which Forth and Tay Disabled Ramblers fulfils its commitments to protect personal data under GDPR legislation which came into force on 25th May 2018. The Chair of the Committee has responsibility for making sure proper Data Protection is in place and that all committee members area aware of their role in handling your data safely. We do not pass your data to any other organisation.
MEMBERS’ PERSONAL DATA
The club holds Name, Address, Tel no, Email Address, Type of Membership (e.g. Full, Associate etc) and Date of Joining for each active member in digital form. The Club Ramble/Membership Secretary holds the master copy of this data in a password protected file. It is used during the year to send out general members communication such as rambles, other club events etc. Blind copies will be used for all such circulars to keep members email addresses private.
The Club Ramble/Membership Secretary is responsible for providing copies of this data to other committee members if their role requires this, and when doing so will make sure they understand their role in keeping the data secure. Changes to the details (such as change of email address) will be made by the club Ramble/Membership Secretary in response to requests from members during the year.
On an annual basis in January/February the Ramble/Membership secretary will be use the copy of existing members data to change as application forms are received for the new club year. If a membership form is not received from an existing member on time, Membership data will be retained for a few weeks after the start of the membership year, until we establish whether the member will re-join or not. It will then be deleted.
After the AGM the Club Ramble/Membership Secretary will ask members of the Committee who have stepped down, or individuals who are no longer co-opted, to confirm that they have deleted any members data they hold.
